AHBC Board Meeting Minutes from January 11, 2011

 

The meeting was called to order by Vince Kelley at 6:35pm. 

Board members present were: Vince Kelley, President; Christine Van Dornick, Co-Ride Chair; Alan Gibbs, Treasurer; Ford Sakata, Secretary; Dave Martin, Arlington 500 Chair and board member at large; Debra Watson, Program Chair and board member at large; Scott Schaedel, board member at large; and Cary Cohen, member.

 

Financial Report (Alan Gibbs)

Alan provided a financial report. The Club funds on hand include: $33852.49 in our money market account and $1103.86 in checking.  No significant expenditures are outstanding.  Known upcoming liabilities include the annual Club insurance premium (due late March). 

 

Membership Report (Vince for Paula Matzek, Membership Chair and board member at large)

March (1st) is membership renewal month.  As of January 11th, 85 households (113 individuals) had renewed.  This represents approximately 2/3rds last year’s membership.   There was discussion regarding whether an original signature was required on membership applications or whether a scanned (faxed) signature was allowable.  The Board decided that a faxed/scanned signature was acceptable. 

 

Meeting Programs (Debbie Watson)

Debbie provided a draft program schedule for 2011 regular membership meetings for review and comment.  Although subject to change, the tentative schedule included:

·        January 26 – Club movie night at a member’s home

·        February 23 – Ride selection discussion

·        March 23 – Exercise for cyclists

·        April 28 – How to lead and follow on rides

·        May 25 – New bike products

·        June, July and August – No meetings

·        September 28 – Ride experience presentation

·        October 26 – What is going on with area bike trails and routes

·        November and December – No meetings

Debbie will continue to refine the schedule as the year progresses.  She also noted that the year different member volunteers have agreed to bring snacks to each membership meeting.

 


Event Calendar – Alan Gibbs

Club events established at the time of the meeting included:

·        April 30th Bike Swap

·        May 22nd Arlington 500

·        May 18th Ride of Silence

·        Picnic - TBD

·        Progressive Dinner (likely to be last Saturday in August)

·        Annual Banquet – TBD

Alan will finalize the club calendar for distribution after the February meeting when the rides are agreed to.

 

Bike Swap Report – Dave Martin

Dave Martin provided an update:  No hand-written paper tickets will be used this year.  All tags and tickets will be generated by computer using the system developed last year.  Online pre-registration will be available approximately one-month in advance so people can pre-register items for sale to streamline check-in.  Accessories will also be kept in a separate secured area with its own checkout area.

We will need a few more volunteers to run the event this year to staff the separate accessory area.  Dave will also need to borrow a number of Windows 7 laptops to run the software during the event.

The hours for the Swap will also likely be compressed.  Possibly starting later and ending sooner.  Prices will be a minimum of $10 and increments of $5.

 

Emails to AHBC Membership – Vince Kelley

As new club President, Vince is now receiving a considerable amount of email regarding various rides and cycling information.  For this reason, he solicited board input regarding what information to pass on to the membership to avoid filling member in-boxes with unwanted emails.  It was agreed that ride information, adjoining states and local, will be passed on to the membership.

 

40th Anniversary Celebration – Vince Kelley

2011 marks the club’s 40th anniversary so the board discussed ideas for celebration.  Ideas included:

·        Put together a picture board of our history for display at external events such as the Arlington 500, bike swap and Frontier Days.  Christine has some of the historical information and will look at materials for a story board.

·        Update the website to highlight our anniversary.

·        Create a 40th anniversary poster or banner for the Fourth of July parade.

·        Christine discussed options for partially funding a pedestrian light button at Dundee and Kennicott and sharing the cost with the Village.  She will initiate a discussion with the Village via the bike commission meeting.

·        Solicit other ideas from the membership during the February regular membership meeting.

 

The board meeting adjourned at 7:45pm.
