AHBC Board Meeting Minutes from February 23, 2011

 

The meeting was called to order by Vince Kelley at 6:31pm. 

Board members present were:

·        Vince Kelley, President;

·        Christine Van Dornick, Vice-President and Co-Ride Chair;

·        Alan Gibbs, Treasurer;

·        Ford Sakata, Secretary;

·        Paula Matzek, Membership Chair;

·        Dave Martin, Bike Swap Chair and Board member at large; and

·        Debra Watson, Program Chair and Board member at large.

Also in attendance were several regular members.

Financial Report (Alan Gibbs)

Alan provided a financial report. The Club funds on hand include: $33,867 in our money market account and $769 in checking.  Recent expenditures included payment to the League of Illinois Bicyclists to distribute our Arlington 500 flyers and fees to the State of Illinois to file the Club's annual report.    

Membership Report (Paula Matzek)

Membership renewals are due March 1st.   As of the Board meeting, 56 households representing 74 individuals have renewed.  This is approximately 40% of last year's membership.

Meeting Programs (Debbie Watson)

Debbie reported no changes to the program schedule for 2011 regular membership meetings established in January.

Bike Swap Report (Dave Martin)

Dave Martin provided an update.  Requests went out for laptops, tents and a generator.  A live test of the internet system was conducted during February.  Several members tested the system and provided many good comments to Dave for consideration.

Pre-registration will take place from our website and will go live approximately 1-month prior to the Swap and will close a day or two before.

Swap hours will be shortened this year because pre-registration will make check-in easier and most of the sales have typically been completed by early afternoon. 

Sale hours will be 9:30am to 3:00pm.  Check-in will begin at 7:30 to 9:30am.

Policy regarding Club miles (Vince Kelley)

Vince asked if the Club should establish a policy regarding the counting of Club ride miles.  After some discussion, the Board agreed to the following policy:

o       To count, rides must be posted at least 24-hours prior;

o       Someone must be responsible for providing an official Club Ride Sign-in sheet for members to sign;

o       In-State rides require at least two members;

o       Out-of-State rides require at least three members;

o       The ride leader must submit the completed Ride Sign-in sheet within 30-days to one of the Co-Ride Chairpersons.

This policy will be posted to the website and communicated to the membership.

Tuesday and Wednesday Night Rides

Laurie Larson will continue coordinate the Tuesday night rides.  Wednesday night rides will continue to be announced on an ad-hoc basis.

Policy Regarding Under 18 Riders

The Club's standing policy is that riders under the age of 18 are not allowed on Club rides unless accompanied by a parent or guardian.  In addition, the parent or guardian must sign the Ride Sign-in sheet for them.   The Board discussed whether to modify this policy.  No final decision was reached. 

Advanced Ride Schedule

Christine reported that the ride schedule is currently being developed and will be posted to the Club website in early March. 

Event Calendar (Alan Gibbs)

Al is continuing to develop the Club event calendar and will solicit membership input.  A single Club mailing will be sent out mid-March.  Key dates include:

o       April 30th Bike Swap

o       May 22nd Arlington 500

o       May 18th Ride of Silence

o       Picnic - TBD

o       Progressive Dinner (likely to be last Saturday in August)

o       Annual Banquet – November 19th

Alan will finalize the Club calendar for distribution within the next few weeks.

Arlington 500 (Don Ami)

Don Ami reported that planning is on schedule.  He will be passing around sign-up sheets for volunteers at the General Membership meeting.  He will pre-ride the Arlington 500 route on Friday March 4th for anyone interested. 

40th Anniversary Bicycle License Plates

Ford obtained prices for purchasing customized bicycle license plates to help celebrate the Club’s 40th anniversary.  The metal license plates would be printed with any design of our choice and can be personalized with individual names.  The plates are aluminum and are 2-1/2 inches high and 6 inches wide.  The Board supported the idea.  Ford will work to find someone who can design the license plate for us.

 

The Board meeting adjourned at 7:30pm and was followed immediately after by the Club general membership meeting.
