February Meeting Minutes (Ford Sakata)

The minutes from the February meeting were distributed for comment and approval. 

Stationary Bike Donation to AH Senior Center (Alan Gibbs)

At the February meeting, Jim Shoemaker proposed that the Club donate a stationary exercise bike to the AH Senior Center for $2199 to support the Community.  The Board members present (and members present at the General Membership meeting) supported the donation however Al Gibbs held the final vote until the new Treasurer had an opportunity to review the Club finances.  An electronic vote was called via email in early March and was approved.  The donation was made to the AH Senior Center in March.

Membership Report (Paula Matzek)

March is membership renewal month.  As of March 23rd, 85 households (113 individuals) had renewed.  This represents approximately 2/3rds last year’s membership.   There was discussion regarding whether an original signature was required on membership applications or whether a scanned (faxed) signature was allowable.  The Board decided that a faxed/scanned signature was acceptable. 

Treasurer’s Report (Ron McPheron)

Ron provided a financial report.  Known upcoming liabilities include the annual Club insurance premium (due late March) and $3,173.41 for the balance of our jersey order (due late-April).  There was discussion regarding how much cash the Club should maintain on an ongoing basis to remain sustainable.  It was agreed that Ron would look back into history to provide data for future discussion.

Swap Meet Report (Dave Martin) 

The Bike Swap will be held April 24, 2010.  Dave provided an update regarding the equipment for the swap. 

ATA will require $200 for bike rack rental. 

Dave sent out an email request to the membership to borrow a couple of laptops as spares and requesting that members volunteer on April 24th to help run the event.   Approximately 25 volunteers have come forward so far but more are needed. 

Bike swap flyers were available for distribution to local bike shops, stores, libraries, restaurants, etc.  A distribution sheet was available for members to use to sign up to drop off swap flyers.


Jersey Report (Ford Sakata)

Ford reported that the final jersey graphics were approved and our jerseys were “in production.”   Delivery of the jerseys was still expected to be early May.

Finalization of the Event Calendar (Alan Gibbs)

The 2010 ride calendar has been published and is available from www.cyclearlington.com.  Any changes/additions should be sent to Al.  Key events:

Annual Mailing (Alan Gibbs)

Once the Event list is updated, the annual mailing will take place.  A membership form will be sent to those members who have not yet renewed.   Paula to provide an updated membership list to Gary for label printing.  Al will send out the mailing within the next two weeks.

Annual Donations (Alan Gibbs)

The Board approved a donation budget of $2,300 for 2010 vs. $1,500 in 2009.  The Board recommended donations as follows:
